Net cash in hand is the cash this person currently holds. Fees are revenue; deposits are refundable and are not revenue. Renewal fees count in revenue but have no holder until they are settled at return.
Cash = physical cash this person holds. Bank = money this person handled that sits in the business bank account. Pending = promised but not yet received. A negative balance (in red) means this person paid out more than they collected — for example, they refunded a deposit someone else collected — so settle the cash between staff.
